The questions chapters ask before they sign off on the rollout, answered plainly.

What are the deal columns in the template for?
The last three columns of our template are Deal Name, Pipeline and Deal Stage. Fill them in for anyone who is already partway through joining, and leave them blank for everyone else.
A deal is one person's application as it moves through the joining steps. Most of the people on your list will not have one yet, and that is normal. The columns are there so the applications already in flight reach us with the person they belong to, instead of being pieced back together afterwards.
⚠ A deal is not the same thing as a pipeline. The pipeline is the set of steps. A deal is one person travelling through them. If somebody tells you a deal is "just your pipeline", that is where the confusion starts.
Nothing you put in those columns is thrown away. HubSpot reads people and their deals from the one sheet, so the deal columns are imported alongside the contact columns next to them.
If you want to see where deals come from, the Application to Member flow traces one person the whole way through.
Who can see the people we send you?
Your data sits in the global EO HubSpot account, and access is scoped by chapter.
Other chapters cannot see your list. The Edge8 Team only opens your data to run the checks and the import, never for anything else. After you go live, only your own chapter admins and EO Global staff with explicit permission can query your people.
What if we get the upload wrong?
Upload again. You can send a replacement at any point before the import stage starts.
After your review call we lock the data down, but if you spot a problem before the import begins, tell us. We will reset the checks and take a new file. Once the import has run, corrections happen in HubSpot itself.
Can we do it in batches, or must it all go at once?
We recommend one pass with your full active list. Adding people one at a time is the normal way of working afterwards, not during the move.
If you have a real reason to split it, such as a sub-chapter spinning out, say so at the review call and we will plan it with you.
What if somebody does not want to be in HubSpot?
They can say so at any time, including before you start.
Flag them on your list, using the column we provide, and we leave them out of the import. They stay in your own records and are never created in HubSpot. They can change their mind later.
How long will this take, and will we be ready for our event?
Your wave date sets the clock. Chapters start in groups, and EO tells you which group you are in and when it starts. The stages themselves are quick, and most of the waiting sits between them.
Once your wave starts, your own share of the work is small. Uploading takes minutes and the review call is 15 minutes.
